Using the Internal Tag

What is the Internal tag?

The Internal tag allows a space to keep a document private within that space. Other spaces in the Library won’t be able to see or access it.

Even though board admins can manage Internal-tagged documents (e.g., rename, retag, delete), they cannot view the contents unless they belong to the space where the document is stored.

Using the Internal Tag

The Internal tag allows a space, such as a board or committee, to keep a document private within that space. Other spaces in the Library will not be able to view or access documents with this tag.

Key Rules for Internal Documents

1. Spaces can only mark their own documents as Internal
A space can apply the Internal tag only to documents it uploaded. It cannot tag documents uploaded by other spaces.

2. Committee spaces cannot manage Internal documents
Committees can apply the Internal tag to their own uploads, but they cannot rename, retag, or delete them. Only board admins have permission to manage any Internal document, even though they still can’t view a document tagged Internal unless they belong to the space.

3. Board admins can manage but not view Internal documents
Admins can archive, retag, or rename Internal documents, but unless they are members of the space, they cannot open or read them.

When to Use the Internal Tag

Use the Internal tag when:

  • A document is sensitive or a draft that’s not ready to be shared across all spaces.

  • A committee wants to work on a document privately.

  • A board needs to restrict access temporarily.

This tag adds an extra layer of control and privacy within the shared Library environment.
