1. Overview


The Meetings Page provides a comprehensive list of all board meetings, and shows the recording secretary's name at the upper right.

2. Important Actions


  • Deleting Meetings: Only the recording secretary has the authority to delete meetings. Exercise caution as this action is irreversible.


  • Agenda Creation: Utilize the 'Agenda Templates' feature to craft agendas. Similarly, you can review minutes and attachments from this section.



3. Top Navigation Menu



  • Agenda Templates: Dedicated button for designing agenda templates. Learn more about Agenda Templates.


  • Contacts: This section displays the name, title, terms, and the respective start and end dates. For more detailed information, like the email address or phone number, click on 'more'.


  • Board Admins can update term details. To do this, select the drop-down menu on the top left and navigate to 'manage users'.

4. Meeting Details

Date: Specifies the date of the meeting.


Time: Highlights the time of the meeting (includes time zone)


Location: Indicates the venue of the meeting.


Type


  • Regular: For director meetings that occur monthly or less frequently


  • Annual: Specifically for Annual or Annual General Meetings involving owners or members.


  • Special: Used for rare "special" meetings where owners or members are invited. This type should not be used for director meetings.


  • Informal: For casual meetings conducted by directors.



Status:


  • New: Meeting is yet to be called to order.


  • Closed: Meeting has been adjourned.


  • Approved: The meeting minutes have received board approval. Upon this, the minutes are finalized in a PDF format, making further edits impossible.


  • Editing: Any information highlighted in blue is editable. To make changes, click on the blue text and a popup will appear for editing. 



6. Additional Features



Add a video conference link.

Create or view meeting agenda with a dedicated button.
Edit or Access minutes
Organize or retrieve meeting attachments.
